NumbersGame for BILL
NumbersGame connects your clients' BILL (Bill.com) organizations to Claude, next to their books in QuickBooks Online or Xero. Accounting firms use it to:
- tie BILL out against the books: what is open in BILL and not in the books (usually not synced yet), what BILL paid that the books still show open, and what is in the books but not in BILL;
- run a problem sweep: possible duplicate bills, failed payments, 1099 vendors with no tax id, uncoded lines, overdue bills and missing documents;
- read AP and AR as BILL has it today: bills and approvals, vendor payments, aging, customer invoices and received payments;
- draft in BILL for the client's approval: create or change a vendor, create or change an unpaid bill, attach a document. Each draft is shown to you first and made only when you confirm.
NumbersGame never pays, approves, sends or voids anything in BILL, and never touches bank details, payment methods or autopay. BILL's own sync keeps moving bills and payments into the books.
Prerequisites
In BILL
- The client's BILL organization, and someone who can create a sync token in it (Settings → Sync & Integrations → Tokens).
- Optional, for company cards and reimbursements: a Spend & Expense admin who can create an S&E API token.
In NumbersGame
- A NumbersGame firm account with the BILL connector enabled (ask support@numbersgame.xyz while it is rolling out), signed in as an owner or admin of the firm.
- The client's QuickBooks Online or Xero company connected in NumbersGame.
In Claude
- The NumbersGame – BILL connector, included in your firm's NumbersGame package (install it from Set up → Package in NumbersGame). The public NumbersGame package does not include it yet: with that one, add it as a custom connector (step 4), on a Claude plan that supports custom connectors.
Set it up
- Create a sync token in BILL. In the client's BILL, open Settings → Sync & Integrations → Tokens and create one. Note its name and value (the value is shown once). The Organization ID (it starts
008) is at the bottom of Settings → Sync & Integrations → Manage Developer Keys. - Link BILL to the company. In NumbersGame, open the company's page and go to its BILL section. Click Link BILL…, enter the Organization ID, the token name and the token value, and click Test. NumbersGame signs in to BILL and shows the organization's name; confirm Link <organization> to <company>?. Nothing is saved before that.
- Optional: add Spend & Expense. In the same BILL section, click Add S&E token… and paste the token a Spend & Expense admin created (Settings → API in Spend & Expense). BILL checks it before it is saved.
- Connect it in Claude. Your firm's NumbersGame package includes the NumbersGame – BILL connector: open the plugin's Connectors tab, click Connect, sign in with your NumbersGame login and select the companies linked to BILL. On the public NumbersGame package, or without a package, open Customize → Connectors instead, add a custom connector named NumbersGame – BILL with the address
https://bill.numbersgame.xyz/mcpand connect it the same way. - Refresh the company file. Download the company's .md file from its page in NumbersGame (or let Claude fetch it) and keep it in the client's Claude project. It now has a BILL section that tells Claude the company's bills go through BILL.
What to ask Claude
- "Tie Acme's BILL out against QuickBooks as of today."
- "Sweep Acme's BILL for problems before we close October."
- "Which bills are waiting for approval, and on whom?"
- "AP aging from BILL, next to the books' aged payables."
- "Draft this supplier invoice as a bill in BILL" (Claude shows you the draft and what BILL's sync will post, and creates it only when you say yes).
Permissions and data
The sync token lets NumbersGame read the organization and, when you confirm, draft vendors and unpaid bills in it. NumbersGame's own rules allow nothing else: no payments, approvals, sending, voiding, bank details or autopay.
NumbersGame stores the link (the organization's id and name), the encrypted tokens and BILL session, and, for each draft you confirm, what you were shown and what BILL answered. It does not store your BILL records: they are read when you ask and passed to Claude. Tax ids, bank details and card numbers are never passed on. Details are in the privacy policy.
Unlinking
- Unlink in the company's BILL section: the company stops reading BILL and the stored token is overwritten.
- BILL has no way for NumbersGame to cancel a sync token. If it will not be used again, delete it in BILL (Settings → Sync & Integrations → Tokens).
- Deleting a token in BILL also ends the link: the BILL section shows broken and the firm's owners and admins get an email. Paste a new token to resume; the link is kept.
Troubleshooting
- There is no BILL section on the company page. The BILL connector isn't enabled for your firm yet, or you're not an owner or admin.
- Claude says it has no BILL tools. Connect the NumbersGame – BILL connector in Claude, or add it on the public package (step 4); it is separate from the NumbersGame connector for QuickBooks and Xero.
- "BILL did not accept this sync token." Check the Organization ID, token name and token value; a token deleted in BILL no longer works.
- "That BILL organization is already linked to another company." One organization serves one company, so totals are never counted twice. Unlink it there first.
- A bill wasn't created: "the vendor has autopay on". BILL pays an autopay vendor's bill as soon as it exists, so NumbersGame won't create one. Enter it in BILL, where autopay is in view, or turn autopay off for that vendor first.
- A draft is refused as not permitted. BILL connections made in Claude before drafting was available (28 October 2026) are read-only: reconnect the NumbersGame – BILL connector in Claude. A viewer, or a firm set to read-only, can read but not draft.
- A bill Claude says isn't in the books is in the books. It was probably entered there by hand, so BILL's sync doesn't know about it. And the other way round: don't key a BILL bill into the books, or it becomes a duplicate when BILL syncs.
FAQ
Can Claude pay or approve bills in BILL? No. Drafts only, each confirmed; payment and approval stay with people in BILL.
Does this replace BILL's accounting sync? No. BILL's own sync keeps moving bills and payments into QuickBooks or Xero. NumbersGame ties the two out and shows what differs.
Is BILL only for US firms? BILL needs a US organization, not a US firm: a firm anywhere can link a client's US BILL organization.
